Direct answer: Intercom pricing has two parts. You pay per seat: $29 (Essential), $85 (Advanced) or $132 (Expert) per seat per month on annual billing. Then you pay $0.99 for each Fin AI Agent outcome, charged at most once per conversation. Intercom bills in US dollars only, so a European team pays in USD and its bank converts the amount. At ECB rates on 23 October 2026, $0.99 is about €0.88 or £0.74.
For a European team, three details change the real bill. First, VAT comes on top of the list price. Second, Fin usage grows with your volume, not with your team size. Third, EU data hosting is only available on Advanced and Expert, for new workspaces, on a contract. Intercom does not publish a separate price for it.
This guide uses only Intercom's official pricing and help pages, checked in October 2026. It converts the figures into euros and pounds, adds VAT where it matters, and works out two real budgets: a 3-seat team and a 10-seat team. It also says when Intercom is worth the money, and which cheaper set-ups fit a small team. Heeya publishes this blog and is one of those set-ups; we say where it does not fit.

Intercom Pricing in 2026: Seats, Fin and Add-ons
Intercom charges per seat, then adds usage on top. A seat is one teammate who replies to customers. Every plan includes the Fin AI Agent, the Messenger (live chat), a shared inbox with ticketing and a help center. The figures below come from the Intercom pricing page and the help article Fin and Intercom plans explained (checked October 2026).
| Plan | Per seat, billed annually | Per seat, billed monthly | What it adds |
|---|---|---|---|
| Essential | $29 ($19 for new customers) | $39 | Fin, Messenger, shared inbox and ticketing, pre-built reports, public help center. |
| Advanced | $85 | $99 | Multiple team inboxes, workflow builder, round-robin assignment, private and multilingual help center, 20 free Lite seats. EU hosting possible. |
| Expert | $132 | $139 | SSO and identity management, SLAs, multibrand Messenger and help center, 50 free Lite seats. EU hosting possible. |
| Fin only (with another helpdesk) | $0.99 per outcome, no seats, minimum monthly commitment | Fin on top of Salesforce or another helpdesk. Intercom gives "50 outcomes" as an example minimum. | |
The $19 Essential price is labelled "New customers save 35%". The pricing page does not say how long the discount lasts, so our budgets below use the standard $29. Intercom's pricing FAQ lists self-serve monthly billing for Essential and Advanced only. You need at least one full seat. Lite seats are free but cannot reply to customers.
Intercom Fin pricing: what counts as an outcome
Fin costs $0.99 per outcome. Intercom bills one outcome per conversation at most, even if Fin answers several questions. According to Intercom's pricing FAQs (checked October 2026), an outcome at $0.99 is one of these:
- Resolution: the customer confirms the issue is solved, or asks for no more help after Fin's last answer.
- Procedure handoff: Fin completes a procedure that ends with a transfer to a human. You pay even though a person takes over.
- Disqualification: Fin rules out a sales lead against your criteria.
A qualification (Fin qualifies a lead and routes it to sales or your CRM) costs $9.99. Keep this in mind if you use Fin for sales, not only support. Note also that a customer who simply stops replying can count as a resolution. That is the main reason Fin bills are hard to predict. Our per-resolution pricing guide compares how Intercom, Zendesk and others define a billable resolution.
Add-ons and usage charges
- Copilot (AI assistant for your agents in the inbox): $29 per agent per month billed annually, $35 billed monthly. Every agent gets 10 Copilot conversations free each month.
- Pro (analytics, quality monitoring and the Operator agent): from $100 per month, with 6,000 credits; extra credits cost $0.01 each.
- Proactive Support Plus (product tours, surveys, outbound messages): $99 per month for 500 messages.
- Channels: live chat, support email and in-app chat are included. Email campaigns, SMS and phone are pay-as-you-go.
- Trial: 14 days, no credit card, all features included.
Intercom Pricing in Euros and Pounds, with VAT
Intercom does not have a euro or pound price list. Its pricing FAQs state: "Intercom is billed in United States Dollars (USD) only." If your card or account is in another currency, the amount is converted at the exchange rate on the invoice date. So a UK, Irish, Dutch or German team carries the currency risk, plus any card or bank conversion fee.
The table converts the list prices at the ECB reference rates of 23 October 2026 (1 EUR = 1.1193 USD = 0.83728 GBP). All € and £ figures are approx. and before VAT.
| Item (annual billing) | USD (list) | EUR (approx.) | GBP (approx.) |
|---|---|---|---|
| Essential seat | $29 | €26 | £22 |
| Advanced seat | $85 | €76 | £64 |
| Expert seat | $132 | €118 | £99 |
| Fin outcome | $0.99 | €0.88 | £0.74 |
| Fin qualification (sales) | $9.99 | €8.93 | £7.47 |
| Copilot, per agent | $29 | €26 | £22 |
Intercom pricing in the UK, Ireland, the Netherlands and Germany: VAT
The list prices exclude VAT. Intercom's Sales Tax and VAT article names Intercom R&D Unlimited Company (Ireland) as the seller and says it does not collect transaction taxes in the United Kingdom (checked October 2026). In practice:
- VAT-registered business: you normally account for VAT yourself and recover it. VAT is then a cash-flow item, not a cost.
- Not VAT-registered (many micro-businesses and associations): VAT is a real cost. Add 20% in the UK, 23% in Ireland, 21% in the Netherlands and 19% in Germany.
Ask your accountant how the invoice is treated in your country. The point for budgeting is simple: compare offers on the same basis, either all before VAT or all with VAT.
What a 3-Seat and a 10-Seat Team Actually Pay for Intercom
The examples below use Intercom's list prices on annual billing, checked October 2026. Conversions are approx., at ECB rates of 23 October 2026. Contract prices can be lower; usage-based channels (SMS, phone, campaigns) are not included.
Example 1: a 3-seat team with 300 Fin outcomes a month
A small SaaS or e-commerce team: 3 people answer customers. Fin reaches an outcome (resolution or handoff) in about 300 conversations a month. For example, that is 1,000 chats a month with an outcome in 30% of them.
| Cost line (per month) | Essential (US hosting) | Advanced (EU hosting possible) |
|---|---|---|
| Seats (3 × $29 or 3 × $85) | $87 | $255 |
| Fin (300 × $0.99) | $297 | $297 |
| Total per month (before VAT) | $384 ≈ €343 ≈ £287 | $552 ≈ €493 ≈ £413 |
| Total per year (before VAT) | $4,608 ≈ €4,117 ≈ £3,447 | $6,624 ≈ €5,918 ≈ £4,955 |
| Per month with VAT, if not recoverable | UK £344 · IE €422 · NL €415 · DE €408 | UK £496 · IE €607 · NL €597 · DE €587 |
Three things stand out. Fin costs more than the seats on Essential: $297 against $87. With the $19 new-customer price, the Essential total drops to $354 (≈ €316, £265) a month while the discount lasts. On monthly billing it rises to $414 (≈ €370, £310). And EU hosting costs at least the step up to Advanced: $168 more per month for 3 seats, before any hosting fee Intercom may quote.
Example 2: a 10-seat team with 1,500 Fin outcomes a month
A growing support team: 10 agents, multiple inboxes and workflows, so Advanced is the natural plan. Fin reaches an outcome in about 1,500 conversations a month.
| Cost line (per month) | Advanced | Advanced + Copilot | Expert |
|---|---|---|---|
| Seats (10 agents) | $850 | $850 | $1,320 |
| Fin (1,500 × $0.99) | $1,485 | $1,485 | $1,485 |
| Copilot (10 × $29) | — | $290 | — |
| Total per month (before VAT) | $2,335 ≈ €2,086 ≈ £1,747 | $2,625 ≈ €2,345 ≈ £1,964 | $2,805 ≈ €2,506 ≈ £2,098 |
| Total per year (before VAT) | $28,020 ≈ €25,034 ≈ £20,960 | $31,500 ≈ €28,143 ≈ £23,563 | $33,660 ≈ €30,072 ≈ £25,179 |
Here Fin is about 64% of the Advanced bill. Every 100 extra outcomes add $99 (≈ €88, £74) a month. If Fin improves and handles 2,500 conversations instead of 1,500, the Advanced total rises to $3,325 a month. For a non-VAT-registered buyer, the Advanced total with VAT is about £2,096 in the UK, €2,566 in Ireland, €2,524 in the Netherlands and €2,482 in Germany per month.

Intercom EU Data Hosting: Plans, Conditions and Price
Yes, Intercom can host your data in the EU, in AWS eu-west-1 (Dublin, Ireland). But the conditions are strict. According to Intercom's Regional Data Hosting article (checked October 2026):
- Plans: Advanced and Expert only. Not Essential, and not through the Early Stage startup programme.
- Contract: "Regional data hosting is available to customers on a contract." You go through sales, not self-serve checkout.
- New workspaces only: an existing US workspace cannot be switched. You create a new EU workspace and move data and settings by hand. Active conversations and workflows do not migrate.
- Price: Intercom does not publish a separate fee for EU hosting on its pricing page or in its help articles. Ask sales for a written quote.
Which data stays in the EU, and which may not
In an EU workspace, visitor and contact data, Messenger conversations, and your custom attributes and events stay in the region. Intercom lists exceptions: billing data, workspace admin data, usage metadata, and technical monitoring data may be transferred outside the EU.
For AI, Intercom's subprocessor list (updated June 25, 2026, checked October 2026) shows separate AI subprocessors for EU data hosting: Microsoft, Google and OpenAI, each marked "AI processing (EU)". Intercom is still a US-headquartered company, so your DPO should review the DPA and transfer terms as usual. For the wider legal picture, read our guide to GDPR-compliant AI chatbots and European alternatives.
What EU hosting does to the bill
The real cost of EU hosting is the plan floor. A 3-seat team that needs EU data storage cannot stay on Essential at $29 a seat. It must take Advanced at $85 a seat on a contract. That is $2,016 (≈ €1,801, £1,508) more per year for 3 seats, before any hosting fee and before VAT.
When Intercom Is Worth It
Intercom is not overpriced for every team. It is a full customer service platform: inbox, ticketing, help center, workflows, reporting and a strong AI agent in one product. It makes sense when you use most of that.
- You need a real helpdesk, not only a chatbot. Several agents, team inboxes, assignment rules, SLAs and reporting. Intercom covers this out of the box.
- Fin replaces paid agent time. Compare $0.99 with what one conversation handled by a person costs you in salary time. If that cost is clearly higher, Fin pays for itself.
- Your volume is low or spiky. At 50 outcomes a month, Fin costs about $50. A flat-fee tool may cost more in a quiet month.
- You sell a SaaS product. In-app messages, product tours and the Messenger inside your app are core Intercom strengths.
- Your customers write in many languages. Intercom offers a multilingual help center on Advanced and AI auto-translation. That matters for a team serving German, Dutch and Nordic customers.
- You need deep integrations. Intercom connects Fin to tools such as Salesforce, HubSpot, Stripe, Shopify, Slack and Jira.
If two or three of these apply, Intercom is probably worth its price. If your main need is to answer repetitive questions from your own documents, with one to three people behind the chat, you are paying for a lot of platform you will not use.
Cheaper Set-ups for Small Teams
A small European team does not always need Intercom's full suite. Here are three cheaper set-ups, each with a clear limit. Prices come from each vendor's official pricing page, checked October 2026.
| Set-up | Entry price | AI usage | Data location | Main limit |
|---|---|---|---|---|
| Freshdesk | $19/agent/month (Growth, annual) | First 500 AI Agent sessions included, then $49 per 100 | EEA data centre, chosen at sign-up | Per-agent price plus per-session AI fee |
| Crisp | $45/month per workspace (Mini, 4 seats) | AI credits included (about 90 automated conversations on Mini, 450 on Essentials) | European servers | AI chatbot and knowledge base start on Essentials ($95/month, 10 seats) |
| Heeya + your current inbox | €19/month (Standard, 500 AI replies) | Flat: 500 or 2,500 AI replies a month, no per-resolution fee | EU (OVH, France) for conversations and knowledge bases | Not a helpdesk; French and English only |
Freshdesk or Crisp: a lighter helpdesk with AI
Freshdesk (pricing) is the closest like-for-like swap. Growth costs $19 per agent per month billed annually, Pro $55. The Freddy AI Agent includes the first 500 sessions, then costs $49 per 100 sessions. You choose the EEA data centre when you create the account (Freshdesk data location). Three agents on Growth cost $57 a month in seats. More options are in our Freshdesk alternatives guide.
Crisp (pricing) prices per workspace, not per seat. Mini is $45 a month for 4 seats; Essentials is $95 a month for 10 seats and adds the AI chatbot, workflows and a knowledge base. Each plan includes AI credits, and extra agents cost $10 a month. Crisp hosts on European servers. It is a good fit for a team that mostly does live chat. We compare it with Heeya in Heeya vs Crisp.
Heeya: an AI agent in front of your inbox, at a flat price
Heeya is an AI chatbot, not a helpdesk. It answers visitors from your documents and website (PDF, Word, PowerPoint, web pages), on a widget you embed on your site. When the AI cannot help, a contact form collects the request, and on Premium the agent can open a support ticket or send the lead to a webhook, HubSpot or Pipedrive. There is no shared inbox, no email ticketing and no phone channel. Your team keeps its current mailbox or helpdesk for human replies.
- Standard: €19 a month (≈ £16), 1 AI agent, 500 AI replies a month. 7-day free trial, no credit card.
- Premium: €99 a month (≈ £83), 3 AI agents, 2,500 AI replies a month, team workspace with 5 seats, tickets and form connectors.
- No per-resolution fee. A reply is one AI answer, so a conversation can use several. At 3 AI replies per conversation, Premium covers about 830 conversations a month.
- Data: Heeya stores conversations and knowledge bases in the EU (OVH, France); message content is sent to AI providers (Google, OpenAI) that may process it outside the EU under standard contractual clauses or the Data Privacy Framework, with no training on your data. Signed processing addendum on request.
- Languages: French and English only. If your customers write in German or Dutch, Heeya is not the right tool; Intercom, Freshdesk or Crisp will serve you better.
For the 3-seat team above, Heeya Premium plus a shared mailbox costs €99 a month, against about €343 for Intercom Essential and €493 for Intercom Advanced. You lose Intercom's inbox, workflows and reporting. You keep a fixed AI bill. FAQ: Intercom Pricing in Europe
How much does Intercom cost per seat?
On Intercom's pricing page in October 2026, a seat costs $29 per month on Essential, $85 on Advanced and $132 on Expert, billed annually. Billed monthly, the help center lists $39, $99 and $139. New customers see Essential at $19 per seat (35% off) on annual billing. Fin AI Agent outcomes cost $0.99 each on top of seats.
How much does Intercom Fin cost?
Fin costs $0.99 per outcome, about €0.88 or £0.74 at ECB rates of 23 October 2026. Intercom bills one outcome per conversation at most. An outcome is a resolution, a procedure that hands off to a human, or a lead disqualification. A sales qualification costs $9.99. Fin used with another helpdesk has no seat cost but a minimum monthly commitment.
What is Intercom pricing in the UK in pounds?
Intercom bills in US dollars only, so there is no official pound price. At ECB rates of 23 October 2026, Essential is about £22 per seat per month, Advanced about £64 and Expert about £99 on annual billing, and a Fin outcome about £0.74. Prices exclude VAT; Intercom says it does not collect transaction taxes in the UK, so a UK business normally accounts for the 20% VAT itself.
Does Intercom offer EU data hosting, and how much does it cost?
Yes. Intercom can host data in AWS Dublin (eu-west-1), but only on the Advanced and Expert plans, for new workspaces, for customers on a contract. Existing workspaces cannot be moved. Intercom does not publish a separate price for EU hosting, so ask sales for a quote. Billing, admin and usage metadata may still be transferred outside the EU.
What does a small team pay for Intercom per month?
A 3-seat team with 300 Fin outcomes a month pays $384 on Essential (about €343 or £287) and $552 on Advanced (about €493 or £413), using list prices on annual billing and before VAT. Fin is the largest line: $297 a month at that volume. EU hosting requires Advanced or Expert.
Is there a cheaper alternative to Intercom for a small European team?
Yes, depending on what you need. Freshdesk Growth costs $19 per agent per month billed annually, with an EEA data centre chosen at sign-up. Crisp starts at $45 a month per workspace for 4 seats on European servers. Heeya is an AI chatbot, not a helpdesk, at €19 or €99 a month with no per-resolution fee; it answers in French and English only and works next to your current inbox.
